How will Shift Messenger benefit my store?

Shift Messenger will save your leadership team a huge amount of time that would have been spent calling or texting Associates. The typical store manager reports saving over 13 hours worth of phone calls every single month.

Your Associates will also love the additional flexibility that Shift Messenger gives them. It gives Associates an option when they know in advance that can’t make a scheduled shift and gives new Associates opportunities to pick up extra hours. All in a way that’s easy for your leadership team to manage!

What’s the difference between Shift Messenger and just texting or using a Facebook group?

Using a dedicated app like Shift Messenger for managing shift swapping is much faster and less noisy than using a neverending text message thread or Facebook group. This means fewer irrelevant notifications and shifts that get covered much faster (just 30 minutes on average!).

Text message threads and Facebook groups are also a privacy nightmare. With Shift Messenger your Associates can swap shifts without having to worry about sharing their personal contact information with the entire store.

How do I get my store started?

The first step is to download our app by visiting gap.shiftmessenger.com on your iPhone or Android smartphone. This is a smart link that will bring you to the App Store from an iPhone or to Google Play from Android.

When you launch the app you’ll find your Gap store by searching for your store address and then register by entering your @stores.gap.com email address and entering the verification code that we email you. If you’re not pre-listed as an Admin, an Admin at your store can verify you by tapping the blue Verify link next to your name on the People tab in their app.

Once you’re verified the most important thing you can do is to tell all of your Associates that they can participate by visiting gap.shiftmessenger.com and downloading the app. You’ll want to spread the word at sales rallies and via any Associate email or text message communication lists you use. If you’re an Admin you can verify Associates from the People tab as they register at your store.

What’s the difference between an Admin and a Manager?

Managers can Approve and Deny when an Associate wants to cover a shift at your store. You’ll want to designate multiple managers to make it easier for your leadership team to manage this process. Admins can do this initially when verifying an employee or later by tapping the three dots next to someone’s name in the People tab.

Admin have even more privileges. In addition to Manager privileges of being able to Approve and Deny shift coverage, they can also manage the store membership list and deactivate Groups.

What’s the fastest way to invite employees?

The Invite Coworkers button on the People tab enables you to instantly share gap.shiftmessenger.com with everyone in your store. Using this button you can either share directly using your contacts or copy the link to share via an email, text, or Facebook.

What do I need to do when new Associates start at my store?

You’ll want to make the option to participate in Shift Messenger part of your onboarding process for new Associates. If you verify them on their first day of work they can start seeing available shifts right away!

Is Shift Messenger required?

While it greatly benefits Associates looking to get shifts covered or pick up extra hours, Shift Messenger is completely optional for Associates. With that said, in order to make it an option for associates, your leadership team is required to launch and manage the solution at your store.

How do I stay in the loop when an Associate covers someone else’s shift?

As an Admin or Manager, you’ll receive an instant push notification when an Associate offers to cover a shift. You’ll be able to see the shift on the Shifts tab and can easily Approve or Deny with one tap. Doing this will trigger another message that keeps both Associates and Managers in the loop.

What if I want to make an open shift available to my Associates?

You can add an open shift from the Shifts tab by tapping the circular blue + button in the lower right. From there you can target a specific Group of associates and then specify the start and end time of the shift in addition to leaving an optional comment. Once you tap the rectangular blue Post button in the upper right, Associates will receive an instant push notification and be able to cover the shift.

Why can I see shifts from other Gap stores?

If Gap Admin and Managers can’t get a shift covered in their own store, they have the ability to broadcast a shift to make it available to Associates who work in Gap stores nearby. You’ll be kept in the loop if one of the Associates in your store offers to cover a shift broadcasted from a nearby store.

Why would I want to create Groups?

Groups can help you target Messages, New Shifts, and Schedules to specific teams of Associates. They’re especially helpful in larger stores and can help your Associates avoid getting notified about things that might not be relevant to them.

What types of Groups can I create?

You’re free to create Groups based on how you’d like to organize your team! The most popular Groups at Gap are Shipments, Cashiers, Visual, and Brand.

What if I want to get rid of a Group?

As an Admin you can deactivate a Group from the Admin section in the app. On iPhone, tap the three horizontal bars in the upper left of the Messages tab, then Admin, then Groups. On Android, tap the three dots in the upper right of the Messages tab, then Admin, then Activate/Deactivate in the Groups area.

How do I get rid of old messages?

You can archive any message thread by swiping it to the left. Archiving the thread will hide it from view in your Messages tab until someone sends a new message to that thread.

If you’d like to delete a specific message within a thread, you can long press on a message to trigger a pop-up that confirms you want to delete it. Admins can delete any message and non-Admins can delete messages they’ve sent.

How do I turn off notifications?

You can access your account profile by tapping on your initials or profile photo next to your workplace address on the Messages tab. From your account profile you can uncheck notifications triggered from specific types of communication (e.g. Messages, New Shifts).

How do I change my profile photo?

You can access your account profile by tapping on your initials or profile photo next to your workplace address on the Messages tab. From your account profile you can tap Add and then add a profile photo by taking a new photo or choosing an existing photo.

What about Associates who don’t have a smartphone?

No problem! We recommend using Shift Messenger on iPhone or Android to see available shifts more quickly, but the application is also accessible via any web browser via gap.shiftmessenger.com. Associates can use this link on any computer or store tablet.

How do I remove an Associate who’s no longer with the company?

As an Admin you can remove former employees using the People tab. Just tap the three dots next to someone’s name to trigger a menu of options and then tap the option to remove them.

How can I make the app easier to access on the store tablet?

Saving a shortcut to the app on a store tablet will make it much easier to access! After entering gap.shiftmessenger.com into a web brower, tap Sign In in the upper right. From here you can right click and then select Create shortcut to save it to your tablet’s home screen.

Can I use Shift Messenger to share a copy of the schedule?

Yes! This is particularly useful when the schedule changes mid-week. The easiest way to share the schedule is by using the store tablet to share a saved PDF of the schedule. Just click on the Schedules tab and then drag the saved PDF into the main area of the page to send it to your Associates right on their smartphones!

Do I need to do anything in Personnel Management once I approve a covered shift?

When an Admin or Manager Approves an Associate covering a shift, they should update Personnel Management accordingly. This can be done very quickly from the tablet with Shift Messenger open in one window and Personnel Management open in the other.

Can I change my workplace photo?

As an Admin or Manager, you can send Shift Support the photo you’d like to use for your workplace cover photo. Just allow us 24 hours to update it!

What can I use Shift Messenger for?

Shift Messenger helps you get shifts covered quickly and easily. If you have a family or school commitment that conflicts with your schedule, the app is a great way to find coverage while keeping your manager in the loop.

If you’re looking for more hours, Shift Messenger is also a great way to see available shifts that fit with your schedule. You can even see open shifts in nearby Gap stores!

How do I get started?

It’s easy!

First just go to gap.shiftmessenger.com to download the app. When you launch the app you can find your Gap store by searching for your store address and then register by entering your email address and entering the verification code that we email you. From there one of your store leaders can verify you and you’ll be ready to go!

Does Shift Messenger use my text message or data plan?

Shift Messenger doesn’t use your text message plan at all but will use a small amount of data as you use it day-to-day.

Is Shift Messenger going to take up a lot of space on my phone?

Our engineers work hard to keep the application you download from the App Store or Google Play very small! You don’t have to worry about it taking up much very much space on your phone.

Is Shift Messenger required?

No. While the app will help you get shifts covered and pick up extra hours, it’s completely optional for Gap Associates.

Why is the app telling me I need to be verified by an Admin?

Your store leaders are set up in app as Admin. They can quickly verify you from the People tab in their app.

How can I use the app to get a shift covered?

It’s really easy! Just go to the Shifts tab and tap the circular blue + button in the lower right. How do I cover someone else’s shift?

When you see a notification about an available shift, you can review it from the Shifts tab and message whoever posted it to ask any clarifying questions. From there you can tap the Cover button on the shift to claim the hours and just need to wait for one of your managers to approve through the app.

You might need to move fast! The typical shift gets covered in just 30 minutes :)

Can I cover shifts in other Gap stores?

Yes! Store managers can broadcast shifts to make them available to Associates in nearby stores. Your manager will be kept in the loop if you offer to cover one of these shifts.

Which Groups should I join?

Your managers and coworkers can post shifts to Groups to make them available to Associates with specific skills or to Associates who work in specific departments. You should join Groups where you’d like to see shifts that you’re qualified to cover.

How do I send a message to my Managers?

When you register at your store we automatically create a message thread that enables you to message back and forth with your Managers. Just go to the Messages tab and tap the thread with Your Name + Managers to send a message!

How do I get rid of old messages?
